Clockwork Business Solutions Private Limited, its subsidiaries and branch operations hereinafter referred as ‘Clockwork’, ‘we’, ‘us’ or ‘our’ is committed to respect your privacy and choices. The privacy statement (hereinafter “Privacy Statement” or “Statement”) highlights our privacy practices regarding Personal Information and business data that we collect and process in compliance to applicable data privacy regulations when you access our websites or use our AI solutions.

Through this privacy statement we intend to provide a synopsis of our privacy practices regarding Personal Information that we collect and process about you through various sources. Although the primary focus of this statement is on the data collected and processed through our websites, that link to this Privacy Statement, which include www.clockwork.in, www.clockwork.co.in, and their sub-domains such as blogs.clockwork.in, etc. (Collectively referred to as “Clockwork Websites”), our adherence to the below mentioned principles remains across the organization towards personal data processing. Depending on the purposes of processing and your relationship with us as a data subject, we may provide additional customized privacy statements, more information on which can be found below.

The scope of this Statement covers the categories of personal data collected, how we use or process such data, who are the recipients of such data, and your associated rights under applicable laws including how to exercise the same. The applicability of the Privacy Statement is global, however certain additional information may be relevant to you depending on the country where you reside.

We may collect the following categories of Personal Information:

  • Login credentials, such as Username and Passwords, IP address, browser type, device information, log files when you register for any of our applicable services.
  • AI Input Data – any data you provide to our AI systems for processing.
  • Audio-Visual information such as photographs or images captured, video recordings (if enabled), when attending any of our events, webinars etc.
  • Queries, comments, or feedback as submitted by you, including any correspondence you have made with us.
  • Preferences relating to marketing communications, interest areas, subscription details, dietary preferences/allergies (in relations to events we may organize).

  • Shared with or by Clockwork’s affiliates.

1.5. Legal basis of the processing

3. Data recipients, transfer, and disclosure of Personal Information

3.1. Clockwork does not share your Personal Information with third parties for their direct marketing purposes
We share your Personal Information within,

  • Clockwork or with any of its subsidiaries;
  • Business partners;
  • Service providers;
  • Authorized third-party agents;
  • Third-Party Providers like Cloud hosting, payment gateways, ERP integrations; or
  • Auditors, and/or government authorities, where applicable.

3.2. Facilitating International Data Transfers
We may transfer Personal Information to countries outside of your country of residence, either to Clockwork group of companies or third parties, including to countries which have different data protection standards from those which apply in your country or region of residence.

Where we may transfer the data outside your country or region of residence, we shall take reasonable and appropriate steps in line with applicable laws while executing such transfer.

When required, Clockwork may disclose Personal Information to external law enforcement bodies or regulatory authorities, in order to comply with legal obligations.

3.3. Email Sending Services
We use SMTP via Outlook and/or other email clients to send emails. These services may process your email address for delivering requested communications.

3.4. AI – Specific Considerations

  • AI outputs are generated based on input data and may not always be accurate.
  • We do not use client-specific data to train public AI models unless explicitly agreed.
  • Sensitive data (financial, medical, legal) should only be shared with caution.

3.5. Mobile Applications Considerations
This Privacy Statement also applies to Clockwork mobile applications made available through mobile application stores, including Google Play Store, where applicable. The permissions, features, third-party SDKs, and data practices may vary depending on the particular mobile application.

3.5.1. Mobile Applications Permissions
Depending on the application’s features and functionality, our mobile applications may request access to certain device permissions or capabilities, including but not limited to:

  • Camera: An application may request access to the device camera where required to provide camera-based features or functionality.
  • Storage, Files, or Media: An application may request access to device storage, files, or media where required for features such as creating, saving, selecting, uploading, downloading, or accessing files or media.
  • Network and Internet Access: Applications may use Internet and network-related permissions to communicate with our servers, provide application functionality, retrieve or transmit information, and determine network connectivity where required.
  • Wi-Fi or Device Connectivity Information: Where required by an application’s functionality, the application may access relevant Wi-Fi or connectivity information.

3.5.2. Third-Party SDKs and Advertising
Certain Clockwork mobile applications may use third-party software development kits (SDKs) to provide, support, analyze, secure, or improve application functionality.

Depending on the application, these SDKs may include advertising, analytics, crash reporting, authentication, or other service-related SDKs. For example, an application may use advertising services such as Google AdMob.

Where third-party SDKs are used, the relevant service providers may process information such as device information, advertising identifiers, IP address, application usage information, diagnostic information, or information relating to advertisements delivered or interacted with, as applicable to the service.

The third-party services and information they process may vary between applications and are subject to the respective providers’ privacy policies, terms, and applicable laws.

3.5.3. Age and Children’s Privacy for Mobile Applications
Our mobile applications are intended for users aged 13 years and above.

The age requirement for our mobile applications may differ from the age requirements applicable to our websites or other Clockwork services. The 18+ age requirement stated elsewhere in this Privacy Statement continues to apply to websites and other services where specified.

We do not knowingly solicit or collect personal information from children below the applicable minimum age without appropriate parental consent where required by applicable law.

If we become aware that personal information has been collected from a child in circumstances where such collection is not permitted, we will take reasonable steps to delete the information, subject to applicable legal requirements.

Parents or guardians who believe that a child has provided personal information to us may contact us at privacy@clockwork.in.

3.5.4. Application-Specific Practices
Because permissions, features, SDKs, and data processing activities may differ between mobile applications, additional application-specific disclosures may be provided where required.

Users should review the information provided for the relevant mobile application and its associated services.

4. Data Usage Transparency

Clockwork may provide integrations that allow authorized users to interact with Clockwork services, tools, applications, or business information through third-party AI platforms such as ChatGPT. When you use such an integration, information necessary to authenticate you, process your request, invoke the requested Clockwork functionality, and return the requested information may be transmitted between the AI platform and Clockwork. Access to Clockwork information is subject to the permissions and authorization associated with your account. Clockwork processes such information in accordance with this Privacy Statement and applicable law.

Client data is used solely for delivering contracted AI solutions and is not repurposed for unrelated AI training or third-party use.

5. Your Rights

5.1. Subject to the laws of your country, you may have certain rights as a data subject (including but not limited to right to information, access, rectification, erasure, object, restriction of processing, right to complain), relating to your Personal Information that we process. Where the data processing is based on your consent, you may withdraw your consent to the processing of any Personal Data at any time. This will not affect the lawfulness of any processing operation before your withdrawal.

5.3. Withdrawal of user consent: Users can withdraw their consent to process their email address for sending communications by opting out of the feature.

6. Data security

At Clockwork, there exists a perfect balance between Governance, Process and Technology, the combination of which has established Clockwork’s commitment to its customers and stakeholders. Clockwork adopts reasonable and appropriate security controls, practices and procedures including administrative, physical security, and technical controls in order to safeguard your Personal Information.

We use secure protocols such as STARTTLS for email transmission to ensure your email address and the PDF are securely transmitted.

7. Data retention

Personal Information will not be retained for a period more than necessary to fulfil the purposes outlined in this privacy statement unless a longer retention period is required by law or for directly related legitimate business purposes. Personal Data that is no longer required to be retained as per legal and business requirements will be disposed in a secure manner.

Business data is retained as long as necessary for service delivery and compliance.

We do not store email addresses entered into our application after the email is sent, except as required for troubleshooting or compliance.

Users may request deletion of their data, subject to legal and contractual obligations.

Our privacy practices regarding Personal Information that we collect and store about you through our websites and portals such as www.clockwork.in, www.clockwork.co.in, blogs.clockwork.in, ai.clockwork.in, mcp.clockwork.in, oauth.clockwork.in, *.cloud-b1.com and www.clockwork.co.in:50/redmine, CSD, Careers and Alumni will be as per the privacy policy of those portals, where explicitly mentioned. If not this Privacy Policy shall prevail.

Clockwork provides links to third-party websites and services. However, Clockwork is not responsible for the privacy statements, practices, or the contents of such third-party websites.

10. Children’s Privacy

Clockwork Websites, its associated products or services and hosted contents, are not intended for the use by children.

As such we do not knowingly solicit or collect personally identifiable information online from children without prior verifiable parental consent. If Clockwork learns that a child has submitted personally identifiable information online without parental consent, it will take all reasonable measures to delete such information from its databases and to not use such information for any purpose (except where necessary to protect the safety of the child or others as required or allowed by law).
